Automating Document Validation with AI to Achieve Next-Day Payment

Background

Our document validation process was fully manual, requiring three full-time QA employees to verify submitted documents for loads. On average, this process took at least two business days to complete after the load was finished, delaying payments to drivers. This was a problem because we promised next-day payments to carriers.

Goal

Automate the QA process to reduce document validation time and enable next-day payments for drivers.

Why is this worth solving?

The manual QA process created a bottleneck, slowing down payments, requiring significant manpower, and affecting driver retention. By automating document validation, we could speed up payments to drivers, reduce operational costs, and improve overall efficiency. This was crucial for retaining drivers who expected timely payments.

Solution

We implemented Google Document AI to automate the document validation process. Once a user submitted a document, the platform automatically parsed the information and compared it with our load data. This significantly reduced the time needed for manual review, allowing QA teams to focus only on exceptions or discrepancies.

Outcome

The solution automated 40% of the QA process, resulting in 96% of payments being made the next day for 4,000 weekly loads for a major retail customer. This reduced the need for additional full-time QA employees as we scaled, saving time and costs while improving the overall payment experience for drivers.
